Below is the call for support that I forgot to include in the last email:
Victoria May Day Convergence & Celebration 2015

I would like to meet with you to discuss your ideas and inspirations for a Victoria May Day Convergence 2015, on Friday, May 1st and a second day on May 2nd.

Please pass this along to persons you deem as possible stakeholders and apologize for duplicate sends as this will go to a large list.

I apologize for the delay in arranging this and its success will depend on you or your organizations involvement and volunteer power.

I'll outline the grand plan that can happen if we have enough people willing to take on their own aspect of a communal event such as hosting a table, leading a workshop or just helping with event logistics.

Here is the outline for the event as we are penciled in for Centennial Park, Downtown... March and Rally and a private venue for more intimate and warm discussion:

Friday May 1st - 4pm-12pm

Rally, March

Speakers, KeyNote

Open social/mixer for youth/activists/artist/etc with some unplugged entertainment

Saturday May 2nd - 12pm-2am

Community groups have tables set-up with information and sign-up sheets

Workshops, Discussion Groups, Speakers, KeyNote

DJs and/or Bands for a full out Party and Dance

(nothing set in stone)

You can see I have not committed any amount of specific time to these activities each day because you will determine what the energy is focused on, I have secured the venue space for a very doable price and this space includes many of the extra considerations for a special event, such as insurance, cleaning staff, sound equipment and the venue has capabilities most spaces do not namely after hours licensing and full digital recording and live streaming production equipment in true TED talk design which would allow us to not only to stream out to the world but bring in any speaker from around the globe in an interactive HD Skype call.

The venue the Sunset Room and it has space for 100 people, here is the link to the crowdfunding campaign they finished recently for the production equipment that adds to their already impressive sound setup in the newly renovated space. (They are preparing a site relaunch so its not available right now)

Instead of trying to coordinate through a massive email thread that forces us to share all our ideas and contacts immediately I have setup a simple online form for you to give me your ideas and commitment capabilities for realizing those ideas. I will then compile and gauge the input and send this out for an organizing committee to delegate the actions needed to confirm the venue hours needed and launch the event announcements through all our channels.

I have also set up a Doodle poll for anyone to give their availability through the month of April so it becomes clear what days will work best for in person meetings of the organizing committee. This will also help involved groups gauge availability for smaller meetings or online video chats.

2 action items I am committed to taking on before our meeting:

- Creating the graphics and layout of a poster for the event

- To DJ(if needed) the event along with the possibility of having a guest pro DJ set-up stage afterwards.
